Summary Objective
The Administrative Assistant provides essential clerical, administrative, and customer service support to the detention center’s administrative and operational staff. This position requires professionalism, discretion, and the ability to work effectively in a secure, fast-paced correctional environment while maintaining compliance with applicable policies, regulations, and confidentiality requirements.
Duties and Responsibility
Provide general administrative and clerical support, including typing, filing, scanning, copying, and data entry.
Prepare correspondence, reports, memoranda, and forms with accuracy and timeliness.
Maintain organized and secure paper and electronic filing systems in accordance with records retention requirements.
Ensure accuracy and completeness of logs, reports, and tracking spreadsheets.
Answer phones, route calls, and respond to inquiries from staff, external agencies, attorneys, vendors, and the public in a professional manner.
Serve as a point of contact between administrative staff and internal departments.
Provide courteous assistance while enforcing facility rules and security protocols.
Adhere to all detention center policies, procedures, and security regulations.
Maintain strict confidentiality of sensitive and protected information.
Report security concerns, policy violations, or irregularities to appropriate personnel.
Minimum Requirements
Requires a high school diploma or equivalent, with vocational or technical school training in secretarial science or a related area, and a minimum of one to two years of experience in a secretarial or clerical position directly dealing with the public and performing basic computer skills; or any equivalent combination of training and experience that provides the required knowledge, skills, and abilities.
Requires the ability to occasionally lift or move items weighing up to 10 pounds and to perform light physical activities such as carrying, pushing, pulling, or otherwise handling objects as part of regular job duties.
